Material Handling Services

Includes unloading of your materials at the dock, delivery to your booth, storage of empty containers, and reloading of those materials back onto your outbound carrier.

As part of the Exhibitor’s booth fee, ALL (Direct and Warehouse) material handling and machinery handling services through the official general services contractor (Freeman) are included in your booth package IF you follow these guidelines:

  • All DIRECT to show site freight must be sent CRATED and ARRIVE ON EXHIBITOR’S TARGETED MOVE-IN TIME to avoid additional charges for material handling.
  • All WAREHOUSE shipments must be received before the warehouse deadline date and during warehouse receiving hours. Warehouse materials are accepted at the warehouse starting on Tuesday, July 15, 2025 through Wednesday, September 3, 2025. An after-deadline surcharge will apply to any shipments received before July 15, 2025 or after September 3, 2025. Warehouse hours are Monday through Friday between the hours of 7:00 a.m. – 2:30 p.m. Carriers arriving after 2:30 p.m. will not be checked in until the following day. All freight sent in advance to the warehouse will be in the exhibitor’s booth at their targeted move-in time.
  • TARGET OUTBOUND: To avoid additional charges for material handling, all carriers must be checked in by your outbound target date/time. Charges will apply if carriers are not checked in by your target move-out date/time and loaded out on overtime.

Machinery: Machinery should only be shipped direct to show site on your target date/time.

Target Move-In Floor Plan (DIRECT TO SHOW SITE): Your target move-in is your assigned date/time that your driver/carrier should be checked into the Marshalling Yard. Drivers MUST check into the Marshalling Yard by your assigned target move-in date/time. When scheduling labor, please allow enough time for your freight to be delivered (approximately 2-4 hours after your carrier checks into the Marshalling Yard).

Target Move-Out Floor Plan: Your target move-out is your assigned date/time that your carrier should be checked in for pickup. This is Marshalling Yard check-in time, not a freight loading time. Upon arrival and check-in at the Marshalling Yard, your carrier will be matched with the completed Material Handling Agreement and will be dispatched to the dock upon availability. Approximate wait time for carriers to be dispatched to a dock for loading is approximately 4-6 hours as long as your outbound paperwork has been completed and turned in.

Surcharges will apply under the following scenarios (please see material handling form for pricing):

  • Freight delivered off target (including machinery shipments)
  • Freight delivered after the deadline date
  • Freight loaded out off target and during overtime hours on move-out (including machinery shipments)

The distribution of alcoholic beverages by exhibitors to attendees of legal alcohol drinking age, and consumption of alcoholic beverages in the exhibit hall, is permitted in the exhibitor’s booth on show days between 3:00 pm – 6:00 pm (one hour after official show closing). Exhibitors wishing to have after-hours service must submit a written request to Show Management, as security will need to be notified.

Alcohol is permitted in the exhibit hall at the following times:

All beverages must conform to the Sodexo catering rules of stocking, distribution and use of professional bartenders.

All food and beverage vendors, contractors and services must be contracted through Sodexo, as it is the exclusive food and beverage provider for the Las Vegas Convention Center. All aforementioned policies will be strictly managed by the LVCC & Sodexo. Any violation could result in fees, the removal of product from the show floor and or obligatory discontinuation of booth activities.

LVCC Chemical Policy

All chemicals brought into the facility must be labeled as required by OSHA and accompanied by the applicable safety data sheet (SDS).

A list of chemicals, including all SDS, must be included with your booth plan submittal to
[email protected].

Exhibitors are responsible for supplying show management with all chemical information brought into the facility.

The exhibitor is responsible for the disposal of all hazardous materials. Disposal of hazardous materials is prohibited in the sinks, sewer lines and drains of the facility.

All chemicals shall be removed from the facility at the conclusion of the show.

  • Exhibitors may hand-carry their merchandise from their vehicles.
  • All vehicles must be parked in a parking lot; curbside parking is not allowed.
  • The use of hand carts and dollies is not allowed.
  • Freight is not permitted on passenger elevators.
  • It is prohibited to transport dollies, carts, oversized luggage, boxes, or freight and toolboxes on escalators.

All operators on property must have completed an approved course of instruction regarding the safe operation of forklifts, scissor lifts and/or boom lifts, and meet all certification requirements. The certification of successful completion of this course must be in the driver’s possession while operating a forklift on property.

The Nevada Department of Business & Industry, Division of Industrial Relations announced on January 26, 2021 updates to Section 618 of the Nevada Administrative Code (NAC) related to occupational safety and health training (OSHA) requirements for workers in the convention services industry. The updated regulations provide guidance and details on the statutory requirements found in Nevada Revised Statute Sections 618.9920 – 618.9931. This statute established requirements for certain workers and supervisors in the convention services industries to obtain training on relevant safety and health issues within fifteen (15) days of starting work in the industry. Workers who perform construction, installation, maintenance, operation, repair or removal of trade show or exhibition displays must be trained. All construction and general industry ten (10) and thirty (30) hour training programs approved by the Nevada Occupational Safety and Health Administration will satisfy the training requirements for the convention services industry. The newly adopted sections of the NAC became effective on January 21, 2021. The current regulations are available for review at http://dir.nv.gov/OSHA.

  • All exhibit power shall be shut off no later than one (1) hour after trade shows, conventions or event closing, and will be turned on prior to three (3) hours before opening.
  • In cases where exhibits require 24-hour power, that power source must be limited to the size outlet ordered by the exhibitor for 24-hour power.
  • A list of exhibitors requiring 24-hour power, with outlets listed, must be provided to the Show Management prior to the first day. In the event it is determined by the director of facility maintenance that there is an excessive amount of 24-hour power in use, an electrician may be required during overnight hours.

The current parking fee is $15 per space, with in-and-out privileges in the Diamond and Silver 1 lots at the Las Vegas Convention. Cash or credit cards are accepted. Anyone leaving the property and planning to return the same day can show their paid parking receipt for reentry. Reentry is subject to availability.

  • The Diamond lot is closest to the West Hall, and the Silver 1 lot is closest to the North Hall.
  • No oversized vehicles are allowed.
  • Overnight parking is prohibited on the property. Vehicles left overnight will be towed at the owner’s expense.
  • Individuals with special parking situations or concerns should inquire at the Traffic Office for assistance at 702-892-7400.
  • All parking attendants and traffic control personnel will be provided by Las Vegas Convention and Visitors Authority (LVCVA) for standard traffic operations.
  • Vehicles must be parked in a marked space, which is available on a first-come, first-served basis.
  • There will be an Uber/Lyft drop-off in the SILVER and BLUE lots. Rideshare is not in the blue lot; it is just outside the lot by door #9.

The Las Vegas Convention and Visitors Authority (LVCVA) does not regulate, control, approve or
disapprove any broadcast, performance or publication of music, or any other audio or visual presentation.

The facility retains the right to regulate the volume of any sound, whether it be music, voice, or special or artificial effects to the extent that the same interferes with other lessees within the facilities or is determined to be offensive or otherwise violates the terms or the rules and regulations of the lease agreement.

If the lessee or an exhibitor wishes to use copyrighted material, it will be necessary to make arrangements with the ASCAP, BMI or SESAC for license to perform such copyrighted music or material, or otherwise qualify for an exemption.
