Thinking of joining them in 2025? Here’s what you need to know about exhibiting at the Western Hemisphere’s largest baking event. 

The Early Bird Gets the Booth  

Timing is everything when it comes to getting your preferred spot on the show floor. For IBIE 2025, we’re making things simpler by combining round 1 and 2 application deadlines into one efficient priority space assignment process. Members of ABA, BEMA and RBA will select space first, with 2022 IBIE Exhibitors to follow utilizing a priority points system. Priority points are accumulated by a company based on the number of shows you’ve participated in, how long you’ve been a member, square footage of past exhibits, staying in the official room block, and other factors.

Companies that qualified for the Priority Space Selection have been emailed an invitation to complete their online application and send in their deposit by Feb. 13. A unique link and booking code have been provided to these companies to access the online application. If you believe your company qualifies for priority access but didn’t receive these invites, please contact us at [email protected].  

Non-members and “new” exhibitors can submit their applications starting Feb. 14 — if that’s you, make sure applying is part of your Valentine’s Day plans! Space selection for this group begins Apr. 1 and is offered on a first-come, first-served basis, while supplies last.  

Here’s a brief overview of how this all works:  

1. Submit your online application and deposit. To secure your spot during Priority Space Selection, ensure your contract and payment are received or postmarked by 11:59 PM CST on Feb. 13. The 25% deposit can be paid in U.S. dollars via ACH, check, credit card or wire transfer. After this date, General Space Selection will open up to all companies and the online contract will be accessible here.

2. Choose your space. In March, we’ll notify all approved companies by email regarding your assigned date and time for Priority Space Selection (Mar. 18-26). General Space Selection opens on Apr. 1, with booths being placed on a first-come first served basis and ends when the floor is sold out.    

The Nuts and Bolts of Exhibiting Costs 

Not only do ABA, BEMA and RBA members get first dibs on their booth space, but they also save nearly 25%. For members, exhibit space is $37.75 per sq. ft. ($49 for non-members). If you’re thinking of joining one of these exceptional organizations — and getting that discount/early access — you’ll want to act fast.

One important (and exciting!) thing to note: IBIE 2025 uses an all-in-one pricing model. That means everything from your booth space to material handling to lead retrieval is included — no complicated pricing structures to navigate and no worrying about additional costs that’ll impact your budget.

Housing, Earning Priority Points and Expo Hours 

No matter how fantastic your booth setup is, you’re not going to want to sleep in it! Fortunately, exhibitors have access to exclusive rates at official IBIE 2025 partner hotels. Stay at one and you’ll enjoy concessions, dedicated customer service and extra priority points for the next IBIE (which help you get in on the booth selection process earlier). 

When 75% or more of your registered booth staff books and stays in rooms through OnPeak (IBIE’s official housing partner), you’ll earn three additional priority points. On top of it all, you’ll be in the heart of the action — which means you’ll have more chances to bump into valuable leads and engage in casual conversations that lead to partnerships, while you’re going to/from the Las Vegas Convention Center or waiting for the elevator at your hotel.
