Mobile App Instructions

Turn conference chaos into qualified connections. Our exhibitor app lets you instantly book meetings with pre-qualified attendees, manage your booth schedule, and maximize every moment of the event. No more missed opportunities – just meaningful conversations that drive real business results.

Attendees can request a meeting with exhibiting companies through the mobile app.

The primary booth contact for the exhibiting company will then assign a team member for the meeting. [Primary booth contact(s) are designated and can be managed in the Exhibit Resource Center].

Key Reminder: Only the Primary Booth Manager can assign requests, and booth staff must accept before a meeting is considered confirmed.

From this home screen, navigate to the Networking & Meetings portion of the app where you can review incoming requests, assign staff members to take the meetings and more. Then go to the “Meetings” tab, scroll down, and click “View Requests.”

  • The Primary Booth Manager is the only person who can assign meeting requests.
  • For each request, the Primary Booth Manager has two options:
    1. Assign to Themselves – The Primary Booth Manager will handle the meeting directly.
    2. Assign to a Booth Staff Member – The request is routed to the selected staff member for confirmation.

Step 1: Access the Incoming Meetings Tab
Navigate to the “Incoming Meetings” tab in your mobile app to view pending meeting requests. Only booth managers can see all requests.

Step 2: Review Requests
Browse the list of incoming meeting requests that require your attention.

Step 3: Take Action
For each request, you can:

  • Accept and assign the meeting to an available team member
  • Decline if the request doesn’t meet requirements
  • Request more information if details are unclear

Step 4: Assign Meetings
To start accepting a request, select the appropriate team member based on their expertise and availability.

Step 5: Confirm Assignment
Review the assignment details and save to notify both the attendee and the assigned team member.

Complete Meeting Setup
After clicking into a meeting request, you’ll see the meeting details form, where you can make adjustments and determine who from your staff should take the assignment.

Configure Meeting Details:

  • Time: Set the start time and end time using the dropdown menus
  • Guests: Add attendees to the meeting
    • The primary booth manager is automatically included
    • The assigned staff member is added
    • Use “Add guests” to include additional participants if needed

Finalize the Assignment:
Once all details are complete, click the “Save” button. This action:

  • Creates the meeting in both your calendar and your assigned staff member’s calendar
  • Sends notifications to all participants
  • Confirms the meeting request for the client

Options:

  • Click “Cancel” if you need to make changes or reconsider the assignment
  • Use the “Edit” option next to attendees to modify participant details

The meeting is now officially scheduled and assigned to your team member.

  1. Review pending requests – Each card shows the requester’s name, company, and proposed meeting time
  2. Check meeting details – Tap on any request to view full details about the proposed meeting
  3. Take action – Accept or decline requests using the options available when you tap on each meeting card
  4. Stay organized – Use the tabs at the top to switch between:
    • Incoming – New requests just received
    • Pending – Requests awaiting your response (shown here)
    • Scheduled – Confirmed meetings
    • Archives and Done – Past or cancelled meetings

Next steps: If you will be taking this meeting personally, tap on the Attendee’s pended meeting request to respond and move it from pending to your scheduled calendar. OR if assigned to your booth staff, they will need to accept the meeting request to finalize it. Once it has been confirmed/accepted by your company/staff, it will move to the “Scheduled” tab.

Pro tip: The search bar at the top helps you quickly find specific requests when you have many pending meetings to review.

If Staff is assigned, they will be notified in their app:

  • Location: Staff have the opportunity to review details and must accept or decline.
